If you start your PhD studies in the groups of Stefan Ameres, Udo Bläsi, Julius Brennecke, Luisa Cochella, Boris Görke, Ivo Hofacker, Isabella Moll, Michael Nodine, Alex Stark or Arndt von Haeseler, you will register for the PhD programme Molecular Biology at the UniWien.
In addition to the specific information below relevant for you as DK RNA Biology students, general information about studying PhD at the UniWien can be found on the website of the Center for Doctoral Studies.
Note that as a DK RNA Biology student at the UniWien you will enrol in the study program “Molecular Biology“. You can do so only after having passed a PhD selection such as the Max Perutz Labs PhD Selection or the Vienna Biocenter PhD Selection.
Please check with the DK RNA Biology’s programme manager before sending any documents or if you have any questions.
ADMISSION
All the required documents and necessary steps for your first registration, i.e. the admission, at UniWien are listed here:

Just as overview in short:
-) First create your own u:account in u:space. This is your student account which you will need throughout your entire studies at UniWien.
-) Indicate “Molecular Biology” as your study program & upload all required documents as listed in the link above. Only when all is complete and uploaded, “submit application” and wait for the admission letter which will be sent to you at the email address you provided at your registration in u:space. (May take up to several weeks!)
-) When you receive the admission letter by email, you’ll be asked to go to the Admission Office of the Doctoral Studies (after making an online-appointment) to finalize the admission by showing the originals of some of the documents you previously uploaded and enroling for the current semester by paying the tuition fee/students’ union fee (ÖH-Beitrag). (You can do so directly there with a bank card with Maestro function, or you do the transfer online with the details they provide)
All documents must be provided in English or German and may need an authentication. Note that if your documents were not issued in English or German originally you need to have them translated by a certified translator and then authenticated. You can read up the detailed information on legalization and translation of documents here.
The kind of legalisation always refers to the state in which the document was issued. So if you lived and studied in different countries you may need different authentications for the single documents.
ENROLMENT for subsequent semesters
After your initial enrolment, you need to continue your registration in every new semester by paying the students’ union fee (ÖH-Beitrag) by these deadlines:
For the summer semester: by 5th Feb
For the winter semester: by 5th Sept
Instructions on how to do so you will find by logging in your u:account in u:space. Please note: you must be registered for the semester in which you graduate.
THESIS PROPOSAL & THESIS COMMITTEE
Your group leader and programme manager will provide you with the details of your thesis proposal which you must present
at the end of your 2nd semester.
You need to set up your PhD Thesis Committee and invite them to your proposal presentation followed by a non-public meeting for detailed discussion. What is a thesis committee: see here.
The Center for Doctoral Studies gives an overview of the PhD process for any student at the UniWien. While that is rather general for all different fields of study and offers soft skill workshops that might be interesting to you, specifically relevant for you will be the PhD Student Lounge for Molecular Biology: find here all forms necessary for submitting your Thesis Proposal and registering your thesis topic:

ANNUAL REPORTS (Fortschrittsbericht)
It is the PhD student’s responsibility to organize the PhD Thesis Committee Meeting once per year!
To document the meetings, the advances & new challenges in your project, please use the following forms:

Please note that all your PhD Committee Members have to sign the Annual Report, or you submit additionally the summary of the committee meeting, see forms above.
Make copies of these documents for yourself and give the originals to your DK programme manager.
DOCTORAL THESIS

TRAVEL REIMBURSEMENTS
Before arranging any conferences, workshops or external meetings please check with your group leader, DK programme manager, and secretary about your travel allowance.
Keep all original invoices (flight, train, conference fee, accommodation), boarding tickets, and your confirmation of participation for the reimbursement and submit everything together with the reimbursement form to the responsible administrative person.
For the reimbursement via the University of Vienna, please use these forms:
- -) PA/R1 – “Antrag auf Genehmigung einer Dienstreise”, i.e. Application for Approval of a Duty Travel. IMPORTANT: Submit to your department’s secretary one week BEFORE the journey starts!!!
- -) FIN/K6 – .doc or .pdf Travel Expenses (Reiserechnung). To be handed in AFTER the travel along with all the invoices and respective documents.
